Lead tracking setup

Know which ad each inquiry came from

Conversion tracking, source fields and CRM routing set up so every form fill and lead form entry is recorded and assigned.

What lead tracking setup means

Lead tracking setup connects the places a lead passes through: the ad, the landing page, the form, your CRM and the sales outcome. Done well, it lets you see which campaign a request came from and what happened to it afterward.

The work is mostly configuration. Google Tag Manager holds the tags. GA4 records events such as form submissions. Each ad platform gets its own conversion tag. UTM parameters label each link so the source travels with the lead into your CRM. Later, sales stages from the CRM can be sent back to the ad platforms, so they learn which clicks led to real conversations.

Tracking measures what happens. It does not decide what happens; that is down to your offer, your ads and how quickly your team follows up.

How a tracking project runs

Tracking projects tend to follow this order:

  1. Audit. List every tag, pixel, form and integration in place now, and note what works and what does not.
  2. Plan. Agree which events matter, what each conversion means, and how UTM labels will be named.
  3. Build. Set up tags in Google Tag Manager, GA4 events, platform conversion tags, hidden form fields and CRM routing.
  4. Test. Submit test leads from different devices and sources, then confirm each one is recorded once in every tool.
  5. Connect back. Set up offline conversion import from CRM stages to the ad platforms.
  6. Document. Hand over a plain record of every tag, event and integration.

Most of the risk sits in the test step, so a careful provider spends real time there.

What you provide for tracking setup

Tracking connects your own accounts, so most of what is needed is access and a few decisions:

  • Admin access, as an added user, to Google Tag Manager, GA4 and each ad account
  • Access to your website or page builder to install Tag Manager, if it is not already there
  • Admin or integration access to your CRM
  • A list of every form and where each one sends submissions today
  • Your sales pipeline stages and what each one means
  • Who should be alerted about new leads, and how
  • Any consent wording and records your counsel requires

If some accounts were set up by a past provider, check now that your business is the owner. Recovering ownership later can be slow.

Questions about lead tracking and follow-up

What are UTM parameters?

They are labels added to a link that name the source, medium and campaign. GA4 reads them to report where visitors came from, and hidden form fields can save them with each lead in your CRM. A shared naming sheet keeps them consistent across campaigns.

Which CRMs can form leads be routed into?

Most common CRMs accept form leads, including HubSpot, Salesforce and Pipedrive, either through a direct integration or a connector tool. The setup maps each form field to a CRM property, saves the campaign source, checks for duplicates and assigns an owner.

What should a tracking report show?

Keep it short: form submissions by campaign and platform, how many became meetings or sales conversations, how many became deals, and spend for the same period. A note on leads with no recorded source helps catch breaks in the setup early. See lead tracking and follow-up for the full scope.
